MINUTES OF THE TRUSTEES
06TH OCTOBER 2008

The meeting began at 7.30 and opened with a prayer.

  Topic Action
1. Approval of Previous Minutes  
  The Minutes from 18th August were agreed and duly signed by Marilyn Dean who acted as chair for that particular meeting.  
2. Matters Arising  
  UK "Missions Contribution" is the subject of continuing discussion between Phil Miller, JO & AF. Meanwhile the money collected this month will be held in a reserved fund within the MCoC accounts. JO/AF
3. Shepherds Items  
  Dynamic Marriage weekend was a great success. Thanks to TF for all her hard work and long hours. Having so many disciples present on the Sunday with the Birmingham family was also hugely hugely. The 8-week Dynamic Marriage courses will begin in Birmingham and Leicester in 2009. It is hoped they will be open to couples in the community as well as those in our fellowship.  
  Trustee/Shepherd November Meeting: letters of invitation have been sent out. JO to organise the Trustee section (Sat am). JO
  Christmas Party date in Birmingham will be announced shortly.  
  A Church Holiday in 2009 is being considered for June.  
4. Finances  
  Monthly spreadsheet 2008 to August was presented and it was resolved to move £30,000.00 to a high interest account. AT
  The end of year accounts are with Stewardship and expected to be completed by the end of this week. AT asked for assistance in compiling the Trustees Report. AT
  The Minibus has been sold for £175.00. It was not seen to be cost-effective for the use made of it.  
5. Employment of Minister  
  Staff Appraisals for AF and TF have been completed. The reports and questionnaires are in their personnel files. It was resolved that AT and MD should check that they are progressing satisfactorily at least quarterly.  
  After clarification of David Sandstrom's end date a Staff Appraisal to be carried out chaired by SB and to include AF and someone else from the congregation. End date to be notified to MD for payroll purposes as soon as possible. SB/AF
  The job description for the employment of an admin assistant is being completed and the post is to be advertised internally before the end of the year. The final job specification will be subject to 2009 budgetary constraints. JO
6. Legal Matters  
  Compliance Schedule: requires Board members to complete risk assessments by the next meeting. JO
  UK Border Agency Sponsoring Licence (Home Office Rule Change) It is thought we should register before the Flemings need to renew their work permissions and if we employ anyone else not from the EEA in any capacity. A paper was tabled for consideration. MD/JO to progress.  
  Child Protection Policy was signed by all Trustees. AT reminded us that Government procedure in this area is constantly evolving and our policy should be kept under constant review.  
  The Board is confident that the contact information supplied freely by the members of the Birmingham congregation may be shared mutually without further permission when undertaking church business.  
7. Any Other Business  
  Kenyan project - the husband of Pamela Ouma (who first brought the plight of the nursery school to the notice of the Leicester congregation) is to travel to Kenya in November and has agreed to take the money raised for this project and purchase small chairs and writing materials & textbooks while he is there. He will return with receipts. A letter thanking him for volunteering to do this work and confirming the arrangements will be issued to him along with a personal cheque for £300.00 being the sum collected by the Leicester congregation plus the GAD income it has attracted. MD
  A benevolence issue in Leicester was raised - the case falls in the grey area of the policy although within the Charity's aims - and it was decided to agree the amount decided between MD and Andy Chapman. A report will be prepared and sent to the Benevolence Committee.  
8. Date of Next Meeting  
  The next Trustees Meeting will be held on 24th November 2008.
