MINUTES OF THE TRUSTEES
27TH APRIL 2009

The meeting began at 7.20pm and opened with a prayer.

  Topic Action
1. Approval of Previous Minutes  
  The Minutes from 26th January were agreed and duly signed by Andy Torbet who acted as chair for that particular meeting. It was noted that the meeting arranged for the 30th March 2009 was postponed to the present one.  
2. Matters Arising from the Minutes - not elsewhere covered on the agenda  
  Missions contribution - AF reported that the MCoC has been assigned the support of the Kolkata church and AT confirmed that half the Missions Collection of 2008 has been sent to the disciples there.  
  TF reported on her meeting with Wil Horwood. Members of the Birmingham church will be made aware of the opportunities to give to HOPEWorldwide by standing order so that the charity can benefit from GAD. It was agreed that no additional contributions be made from MCoC funds to HOPEWorldwide in the U.S.  
  Red to black - MD has still to investigate this further. MD/AT
3. Shepherds Items  
  Church Holiday. SB reported 64 Adults and 37 children were signed up. The flat rate prices required by the venue have been translated into £50 adults and children 13 and over, £30 children 12 and under and those 3 and under to be free. Parents to be asked to provide travel cots for these infants. With this pricing plan there might be a shortfall of about £173, which can be funded by MCoC. Julia Wakefield is to be our liaison with Jill Stone of Smallwood. A Health and Safety Policy and a Risk Assessment need to be prepared to be sent off with our payment before the event SB
  Payments policy for disciples to attend courses. From time to time disciples need to take opportunities to attend courses, which will enhance their service to the MCoC, but not previously accounted for in the budget forecast. Provided there is leadership backing for them to go they may do so and funds for fees and travel may be found from the nearest budget match. The Meeting backed the opportunity for Angela Palmer to attend the Grief Recovery Training.  
4. Finances  
  Monthly spreadsheet 2009 complete to March is presented. Suggested that budgets for subcommittees be prepared to cover the first quarter of the year. MD/AT
  A and T Fleming may be giving Manchester a day per month shortly. Payments for this will come through ICCM as for London  
5. Employment of Staff  
  Employment of an admin assistant: Some applications have been received from within MCoC but it was decided to advertise within the ICCM congregations. SB wrote an announcement for the purpose. JO
  There has been no response to the advert for volunteer administrators.  
  David Sandström: The payroll company have been informed that David's last working date with us is the 31st May 2009. A final staff appraisal to be set up by SB/AF AF/SB
  A couple has been approached and offered training with AF and TF, which would require them to find work and relocate to the Birmingham area. They are willing to do this, with God's help. They will be offered paid work when the funds become available. AF
6. Legal Matters  
  New CRB checking procedures - information from CCPAS via Barry Lamb was tabled. AT outlined the basic implications of the proposed introduction of the Independent Safeguarding Authority (ISA). We will see what the implications will be but AT anticipates that assistants, who are on the ISA list can be checked online using that facility and will not need another CRB check. Meanwhile those involved with children and vulnerable people must continue to be CRB checked as before.  
  UK Border Agency Sponsoring Licence: JO to expedite this application this week. JO
7. Any Other Business  
  AF presented graphs showing the Birmingham contribution of 2008 compared with 2007. He will present the graphs to the congregation in due course. AF
  Suggestions for spending the Small Churches (UK) portion of the Missions contribution to help the Scottish churches were explored. AF to consult also with the Shepherds. AF
  AF suggested we look for some student interns to work over the summer. Funding could be available especially if the Admin post is not filled immediately. AF to make some enquiries. AF
8. Date of Next Meeting  
  The next Trustees Meeting will be held on July 2nd (subsequently changed to 13 July) at 6.30.
